Pricing

There are three contributing factors that determine the pricing for your event. These factors are:
MOVIE LICENSE FEE (if applicable) + TASSIE OPEN AIR CINEMAS SCREEN HIRE FEE + DVD COST (if applicable)

Event Classification and Movie Licensing Requirements

Event Classification – Events are classified as either “public” or “private”. Public events require movie licensing, but private events do not. Generally speaking, private events are small ‘backyard’ gatherings, not held in public spaces. The audience are not charged, and the event does not raise money in any way, such as food and beverage sales etc. An example of a private event is a birthday party at someone’s house, where close friends and family are invited. You do not need a movie license if hosting a private event.

On the other hand, and quoted from Roadshow 2020, online “For the purposes of copyright in Australia, a screening of a film outside the home is generally regarded as “in public”. The audience need not be together in the one room for the screening to be regarded as “in public”. For example, the transmission of movies through an internal closed network to individual units or rooms will be regarded as a public screening. Note, however, that the blanket license available from the Roadshow PPL website does not cover transmission of movies by such systems. Similarly, the screening does not need to be on one large screen for it to be regarded as "in public". For example a public screening includes where a club or venue distributes individual devices e.g. iPads which contain electronic copies of a film(s) that the club or venue has purchased legally for patrons to be able to access and watch the film(s). In this instance the screenings must be incidental to the club or venue's primary business purpose, unadvertised, and there must be no charge for the use of the individual device. What type of organisations can conduct a public screening? A public screening may occur in a broad range of locations, including pubs, clubs, hotels / motels, restaurants / cafes, nightclubs, shopping centres, retirement and aged care homes, hospitals, mining camps / oil rigs, factories, libraries, buses / coaches, churches, trains, ferries, and numerous other similar organisations and venues. Even if the organisation screening the film is a non-profit organisation (such as exhibitions in a church) permission from the copyright holder is still required. Until the copyright owner or its licensed representative has given written permission, you are not authorised to conduct the public screening. You should not assume that permission will be granted as each decision is at the sole discretion of the copyright owner or its licensed representative.” (Roadshow 2020, online) You do need a movie license if screening a movie and hosting a public event.

Movie Licensing Process

Movie Licensing Process We take care of organising the movie license on your behalf via the process set out below: 1. We provide you with a movie catalogue for you to choose a movie. Generally, Roadshow and Amalgamated Films grant movie licenses for films that have been released on DVD at least three months prior. 2. You provide us with your selection along with the following information: the venue location, ticket price, anticipated audience size and venue capacity. 3. We submit the application to the relevant distributor for approval (this takes anywhere between 1-5 days to be processed). Please note you will not able to advertise the title of the movie you will be screening until the license is approved. All flyers and promotional imagery will also need to be approved before being published either in print or electronic form, including social media. In most cases, radio advertising is not permitted, but please let us know if this is something you are interested in and we can assist in seeking special permission. 4. We advise you if the movie license has/has not been approved. If approved, we will quote you a movie license fee which you will either accept/not accept. A movie license fee may be anywhere between $250-$550 or 35 per cent of box office ticket sales, plus GST, whichever is greater, per screening. Once accepted, we will advise the distributor and order an authentic copy of the DVD to bring with us on the night. The cost of the DVD will be added to your final invoice and will range anywhere between $10 to $35. Alternatively, you are very welcome to source your own DVD copy and bring along to your event. Please note Blu Ray DVD is our preferred format. 5. You will be billed for the movie license fee immediately post event, with payment terms being 7 days.

Requirements for 5M, 8M and 10M Inflatable Screens

On the day of your event, we arrive two hours prior to screening to allow for plenty of time to set up.  We then pack down immediately post event.  Please note our projection works when it gets dark, so we suggest your screening start time to start 30 minutes after sunset, or shortly thereafter.
We require a power supply to inflate our screens and run our Audiovisual equipment. We require two x 10amp power points to run the cinema, this will take care of the blower, projector, laptop/DVD player.
The popcorn machine, should you wish to use it, will also require an additional 10amp power point.
We are able to bring our generator if we will not have access to power.  We prefer to use venue power instead of our generator due to noise levels.  Our generator is no louder than other generators, but noisier than no generator at all.
As the event organiser, you will need to have your own public liability insurance, as well be responsible for the COVID plan, ticketing, promotion, council approval (if held on council property) and crowd/traffic control.

Restrictions, Insurance, Registration & Certification

Our inflatable screens are rated to stand winds up to 35km/hour. We encourage all event organisers to formulate a back-up weather plan in case of inclement weather, such as moving the event indoors. We have Public Liability insurance, Registration to Work with Vulnerable People, and Engineering Structural Reports for all our screens. All our electrical equipment is Tagged and Tested.

How to Book

Once you have decided you would like to go ahead and proceed with a booking, let us know via email and we will send you an invoice. We take full up-front payment for our 2.5M Screen DIY Kits, and 50 per cent deposits for all other screen hire. The 50 per cent deposit secures your booking, with the remaining 50 per cent payable 7 days post event).


Terms & Conditions due to Inclement Weather

  1. If postponed by 9am on the day of the event, we will transfer deposit and movie license to another date, at no charge, with the new date subject to availability.
  2. If postponed between 9am and 2pm on the day of the event, your deposit will be forfeited, but you will not be billed the remaining 50 per cent, with the option of transferring your movie license to another date.
  3. If postponed/cancelled after 2pm on the day of the event, your deposit will be forfeited and you will be billed the remaining 50 per cent, with the option of transferring your movie license to another date.
